The steps, in detail
Tap any step to see what happens.
1You start the registration.
Choose your registration type and fill in the property, dates, and owner details. You can save and finish later if you need to.
2Your Transfer Member completes their part.
For most rentals, the person renting (the Transfer Member) gets an email link to add their details and sign. Short-term guest registrations skip this — you provide everything yourself.
3Your association reviews it.
Some HOA boards approve rentals; if yours does, they sign off here. Many don't, and this step is simply skipped.
4Your property manager signs.
The management company confirms on behalf of the association.
5Heritage Oaks gives final approval.
Our Membership Director reviews and approves, and you receive a confirmation with the completed form.
Tracking your registration
After you submit, your confirmation email includes a "Track my registration"
link. It opens a simple page that always shows where your registration stands and what's next.
Bookmark it — you can check back anytime, and we'll also email you each time it moves forward.
Common questions
Tap a question to see the answer.
Can I finish my registration later?
Yes. Choose "Save and continue later" and we'll email you a link to pick up right where you left off.
How long does the whole process take?
It depends on how quickly the Transfer Member, your association, and your property manager each sign. Your tracking page always shows exactly where it stands, and we'll email you each time it moves forward.
Do I need an account or password?
No. Everything is handled through secure links we email you — there's nothing to log into.
My Transfer Member didn't get their email.
Ask them to check spam, then contact the Membership Office — we can resend the link.
I started one by mistake.
The email we send you includes a link to cancel a draft. You have a short grace period to change your mind.
